Planning event photography: an organiser’s checklist

A useful photographic story starts before the first guest arrives. A little preparation makes the essential moments clear and gives the photographer room to work.

Decide what the photographs need to communicate

Will you send participants a recap, promote the next edition or show what your organisation does? The answer shapes the important images. Coverage may need wide views as well as conversations, activities and details. A list of speakers alone does not describe the whole story.

Identify where the photographs will appear. A website, social post or presentation may benefit from different framing. Flag relevant partners and visible branding, without assuming that every element will automatically appear in every photograph.

Share a programme with clear priorities

Send locations as well as times for each part of the programme. Mark essential moments such as the opening, a group activity or a demonstration. Name the people who must be photographed and who can help identify them on location.

Check which activities happen simultaneously. One photographer cannot be in two places at once. Rank the priorities and discuss what is realistic within the agreed coverage. Leave some room for delays and changes to the running order.

Arrange access and a contact person

Explain where the photographer should check in, what access is required and who will be available during the event. Include parking, moving between rooms and any areas where photography is not permitted.

Discuss lighting, stage arrangements and space to move. Not every project needs a venue visit; clear photographs of the space and practical information can already help. Mention restrictions such as no flash or fixed shooting positions before the plan is finalised.

Agree participant communication and usage

As the organiser, decide how participants will be informed about photography and who will handle questions or objections. Make sure relevant arrangements reach the photographer, including decisions made during the event. Discuss sensitive situations or particular groups before deciding on an approach.

Define who will receive the images and what they will be used for. A private participant recap and a public campaign are different applications. Resolve unclear usage expectations before the photographs are selected and shared.

Include delivery in the plan

Agree the image collection, file formats and when you need to receive them. If you want to publish on the same day, discuss whether an early selection fits within the project. That is a separate scheduling requirement, not an automatic result of booking a short shoot.

Browse BuddyToBuddy and Balkan Dance as portfolio references for gatherings and activities. Studio Akbudak provides event photography from Rotterdam and works across the Netherlands. Share your date, venue and programme for a proposal shaped around your event.

Frequently asked questions

Do I need a complete list of every photograph?

A short list of essential moments and people is usually a better starting point than prescribing a photograph for every minute. Discuss the priorities while leaving room for spontaneous situations.

What if the programme changes during the event?

Make sure one reachable contact person can communicate changes promptly. The photographer and organiser can then reassess priorities within the agreed coverage.
